  • "Practitioner" refers to any healthcare professional employed by or contracted with Holistic Healthcare Clinics

  • "Appointment" refers to a scheduled meeting with one of our practitioners

Services

Holistic Healthcare Clinics provides a range of healthcare services including but not limited to physiotherapy, osteopathy, chiropractic care, massage therapy, acupuncture, and sports therapy. All services are provided by qualified and registered practitioners.

Important: Our services are not a substitute for emergency medical treatment. In case of a medical emergency, please call 999 or go to your nearest emergency department.

Appointments and Cancellations

Booking Appointments

Appointments can be booked through our website, by telephone, or in person at one of our clinics. When booking an appointment, you agree to provide accurate, current, and complete information about yourself.

Appointment Confirmation

Once your appointment is booked, you will receive a confirmation via email or SMS. It is your responsibility to ensure that your contact details are correct and to check your appointment time and date.

Cancellation Policy

We understand that circumstances can change, and we may waive cancellation fees at our discretion in exceptional cases (such as medical emergencies). Documentation may be required.

Late Arrivals

If you arrive late for your appointment, your session may be shortened to accommodate other scheduled appointments. The full fee for the originally scheduled appointment will apply.

Fees and Payment

Our current fees are available on our Price List page. We reserve the right to change our fees at any time, but any changes will not affect already booked appointments.

Payment Methods

We accept payment by cash, credit/debit cards, and bank transfers. Payment is required at the time of service unless alternative arrangements have been agreed in advance.

Health Insurance

We work with many health insurance providers. If you wish to use health insurance to cover the cost of your treatment:

  • You must inform us at the time of booking
  • You are responsible for checking your level of cover with your insurer before treatment
  • You remain responsible for any fees not covered by your insurance provider
  • Some insurers require a GP referral before treatment - it is your responsibility to obtain this if needed

Patient Responsibilities

As a patient, you agree to:

Provide Accurate Information

Provide accurate and complete information about your medical history, current conditions, medications, and any other relevant health information.

Attend Appointments

Attend scheduled appointments on time or provide sufficient notice for cancellations as per our cancellation policy.

Maintain Personal Hygiene

Maintain reasonable personal hygiene when attending appointments out of respect for our practitioners and other patients.

Pay for Services

Pay for services as agreed and provide accurate billing and insurance information where applicable.

Communicate

Communicate any concerns, changes in symptoms, or questions about your treatment plan promptly to your practitioner.

Follow Recommendations

Follow the agreed treatment plan and home exercise recommendations to the best of your ability.

Our Responsibilities

We commit to:

  • Provide healthcare services with reasonable care and skill
  • Ensure all practitioners are appropriately qualified, registered, and insured
  • Maintain confidentiality of patient information in accordance with our Privacy Policy
  • Provide a clean, safe, and accessible environment
  • Communicate effectively regarding treatment plans, options, and expected outcomes
  • Respect patient dignity, privacy, and right to make informed decisions about their healthcare

Medical Records and Data Protection

We maintain electronic and/or paper records of your medical history, treatment notes, and other relevant information. These records are subject to the following:

  • Your personal information is processed in accordance with our Privacy Policy and UK data protection laws
  • You have the right to access your medical records as detailed in our Privacy Policy
  • We retain medical records for the period required by law (typically 8 years after the conclusion of treatment)
  • We may share your medical information with other healthcare providers involved in your care with your consent

Our website is provided for informational purposes and to facilitate appointment bookings. When using our website, you agree:

We strive to provide high-quality care, but we recognize that there may be times when you wish to make a complaint. Our complaints procedure is as follows:

  1. Please raise any concerns directly with your practitioner if appropriate
  2. If you prefer not to speak to your practitioner, or your concern is not resolved, please contact our Clinic Manager
  3. If your complaint is not resolved satisfactorily through these channels, you may contact the appropriate regulatory body for the practitioner concerned (e.g., Health and Care Professions Council, General Chiropractic Council, General Osteopathic Council)

Changes to Terms and Conditions

We may revise these Terms and Conditions at any time by updating this page. You should check this page from time to time to ensure you are aware of any changes. Significant changes will be communicated to patients where possible.

Governing Law and Jurisdiction

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Severability

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
